New Science Tokyo ID distribution to students and faculty/staff who will on board from April 1

We would like to inform you that we have started to provide Science Tokyo IDs to students who are newly enrolled and staff/faculty who are newly hired on April 1.
If you know anyone in your neighborhood who will be newly admitted or hired on April 1, please share this notification with them.


Since the distribution will be made to a large number of members, there is a possibility that you will not be able to confirm your ID until April 6 or later. We are distributing the IDs in order, so please be patient.

The distribution and initial setup procedures are as follows.
We ask that you please complete the initial setup as soon as your ID has been confirmed.

  • Members of Science and Engineering
    IDs can be verified on the Science and Engineering Portal.

  • Members of Medical and Dental Sciences
    A URL link to the PDF file of the notification will be sent to your TMDU e-mail address (***@tmd.ac.jp).
    If you do not have a TMDU e-mail address, a URL link to the PDF file will be sent to the private e-mail address you registered in advance.

  • Services Available with Science Tokyo ID

  • The following services will be available as soon as they are ready in each system owner's department.
  • Science Tokyo Gmail(Science and Engineering / Medical and Dental Sciences)
    You can use this service after completing the initial setup of your ID.

  • Slack
    • Science and Engineering
      Available new students and staff/faculty in Science and Engineering field after initial setup is complete.
    • Medical and Dental Sciences
      For medical and dental school members, the system will be available from the weekend of April 7 to the first half of the week of April 14, using the integrated ID and TMDU email address.
      The authentication system is available through the TougouID Portal “Extic”.

  • Box
    • Science and Engineering
      Available new students and staff/faculty in Science and Engineering field after initial setup is complete.
    • Medical and Dental Sciences
      The service is scheduled to begin in the first half of fiscal year 2025. A separate announcement will be made when the start date is determined.

  • MS365
    • Science and Engineering
      You will be able to use MS365 after completing the initial setup of your ID.
    • Medical and Dental Sciences
      If you are a Medical and Dental member, you will be able to use MS365 with your Tougou ID and TMDU email address.
      The authentication system is available through the TougouID Portal “Extic”.

  • Science Tokyo LMS
    If you would like to know whether you can use the Science Tokyo LMS and when you can start using it, please refer to the guidance from the relevant section.

  • Financial Accounting System
    If you would like to know whether you can use the financial accounting system and when you can start using it, please refer to the guidance from the relevant section.

  • ※ The recruitment of Box guests from medical and dental school users will begin after Box service is deployed to medical and dental school members registered in the “Trusted DB”.
    We will make a separate announcement when the timing of disclosure is determined.

For students * who have been distributed a new student number (25B/M/D) from the one beginning from **R after April 2025

Students* who have been distributed a new student number (25B/M/D) after April 2025 from the one beginning from **R will be assigned a new Science Tokyo ID. The services that you are currently accessing with your Science Tokyo ID will no longer be accessible with your new Science Tokyo ID. Please be sure to back up all necessary information while you are still able to log in. Please note that you can only access your old Science Tokyo ID until around April 16. Please refer to the following for information on transferring data from one service to another.

【Slack】
  • Temporarily, there will be two Slack accounts, one with the old and one with the new email address. The old Slack account will be disabled when your old Science Tokyo ID expires.
  • If you wish to continue using your old Slack account, you can do so by modifying the email address of your Slack account to your new email address on the administrator's side. In this case, the other new Slack account will be deactivated, so please note that communication on the new Slack account will not be carried over if you wish to continue using the old account.
  • If you wish to continue using your old Slack account, please submit your old and new Science Tokyo IDs and other information through the "Slack Account Transfer" workflow posted at #help-学生slack-情報基盤課. We will contact you by DM or other means if there are any items to be confirmed.
【Box】
  • Temporarily, there will be two Box accounts, one with the old and one with the new email addresses. The old Box account will be disabled when your old Science Tokyo ID expires.
  • If you wish to continue using your old Box account, you can do so by modifying the account's email address of your Box account to your new email address on the administrator's side. In this case, the other new Box account will be deactivated, so please note that the files in the new Box account will not be transferred. Please note that files owned by the new Box account will not be transferred.
  • Only for users in Science and Engineering field in March-April 2025, the identifiers necessary for the transfer remain in the dedicated tool that manages Box accounts, so the transfer from old to new will be performed on the administration side in a batch, giving priority to data preservation. From May 2025 onward, we plan to conduct workflow applications in the same way as Slack, and we will make a separate announcement when the procedure will be changed.
【Science Tokyo Gmail】
  • Science Tokyo Gmail addresses cannot be transferred.
  • Mail contents and address book can be transferred. Please refer to the method here. For those who will remain at the college as a student, the old account will be available until around April 16, so please transfer your email contents and address book by this time.
【MS365】
  • MS account switching by the Information Department is not possible.
  • If you have data (OneDrive, Forms, etc.) you wish to transfer to the new ID, please contact #contact-ms365-情報基盤課 individually.
  • Please note that the old Science Tokyo ID will be available until around April 16th for this special correspondence only, but the MS365 for the old Science Tokyo ID will be changed to an A1 license after April. The new Science Tokyo ID MS365 provides an A3 license, so if you need to use an A3 license (e.g., installing desktop application on PC), please use the new ID.

For the students/staff who are not going to belong to Science Tokyo after April, 2025 due to graduation/retirement

Those who are not going to belong to Science Tokyo after April, 2025 due to graduation/retirement will not be able to log in to Science Tokyo Portal and access all systems on the Portal from the NEXT DAY of your leaving from Science Tokyo. (Those who graduate/retire in the end of March cannot access the Portal from the 1st of April)

  • MS365 etc.
You will not be able to access ALL systems which are provided on Science Tokyo Portal. If you need, please make backup by yourself in advance while you can log in to the Portal.

For the students who are going to be given a new ID number after April, 2025

Those who are going to be changed to a NEW student number* from the current one after April, 2025 are no longer available to confirm "Science Tokyo ID" on Portal for Sci & Eng field. Kindly note that please make sure to keep a copy of your "Science Tokyo ID" for yourself BY April. It will take a few days at least to confirm your Science Tokyo ID after April.

*Example: Students who are going to be a master/doctoral student from undergraduate/master student in Science Tokyo.

End of Tokyo Tech MS365 Service (27 March)

The MS365 account (xxxx@o365.tokyotech.jp) for the Tokyo Tech tenant will be discontinued on Thursday, March 27, 2025. We have already started providing MS365 services under the Science Tokyo tenant, so please migrate to the MS365 services under the Science Tokyo tenant by the above service end date. (How To Migrate ) Please note that Microsoft Office LTSC installed via TTInstaller will continue to be available beyond the fiscal year 2025.

Notice for using Tokyo Tech Mail via Google Chrome

Due to McAfee upgrade, it is reported that there occurs an error when you access to Tokyo Tech Mail via Google Chrome. If you're using browsers other than Google Chrome, it would be no problem for using Tokyo Tech Mail. McAfee is working on this failure, but if you want to use Tokyo Tech Mail via Google Chrome, make a specific extension invalid as the following instructions.

Start Google Chrome > Click the three dots on the upper right side > Extensions > Manage Extensions > Make OFF "McAfee Web Adviser (マカフィー ウェブアドバイザー)"
It is reported that upgrading Google Chrome to the latest version will resolve this symptom.

In case you are worried about making a security function invalid, please consider using other browsers such as Edge or Firefox.

Tokyo Tech Mail was end of service life in the end of September, 2023 and we renewed the email system of Tokyo Tech on the following date.

Official Release of Soft Token authentication

We have officially released Soft Token authentication.

Soft Token authentication is a very useful method to log in to the Tokyo Tech Portal. You can log in to the Portal with an application on a smartphone or tablet, which means you don't need to use matrix code. This Soft Token auth. is much more secure than matrix auth., so we strongly recommend you introduce this Soft Token auth. for your security and convenience.

Please refer to the initial set-up and how to use.
Note: You cannot set up via matrix auth. from off-campus. Please set up from on campus or using other authentications.

It is going to be unable to log in to the Portal by Matrix auth., one-time password (OTP) auth. and soft-token (TOTP) auth. for 10 min. at most during the maintenance work. If you fail to log into the Portal, please try again a few minutes later.
It is possible to log into the Portal by IC card (PKI) auth. and continue using each system on the Portal unless you log out from the portal.

Trial release for Soft token auth. and mail notice for successful authentication

As a new authentication method, "Soft Token Auth." has newly released on a trial basis. This auth. (method) enable you to authenticate yourself by use of application software working on your smartphone or tablet. If you want to use it, you need initial settings first. Please refer to this manual. Note that you can set this up from on-campus network only.

Besides, in order to take measures to meet intentional log-in, a new system also released; you will get a mail notice when you log-in to the Tokyo Tech Portal successfully using "IC card auth." and "Soft token auth."

Start date: June 8, 2022

Authentication date and IP address will be sent to your m-address, and if you are sure why you get this notice, it is no problem to ignore it.

Main menu list after Tokyo Tech Portal login will be renewed for improvement in user friendliness.

Notice for use of "K-9 Mail", Android mail apps

It is found that "K-9 Mail" causes large amounts of data to Mail System of Tokyo Tech due to its version up 5.800. For those who use this mail apps, please see the below to look again at your settings in order to reduce the load on Mail System.

Parallel three lines on the right top corner, which is on the startup screen of K-9 Mail > the bottom "Settings"> Accounts > Fetching mail

Select "None" on "Push folders" and restart the application.

There is no negative impact on your device as Tokyo Tech Mail System does not correspond to push notification, and moreover, you may be able to save buttery consumption. Thank you for your understanding and cooperation.

Firefox has released a new version, Firefox84.0.1, which can support IC card Authentication.
Those who have refrained from updating now can use a new version of Firefox.

Notice for using SSL-VPN

There is limitation on the number of usage that can be connected to SSL-VPN at the same time.
Here are some tips that you need to pay attention when you connect SSL-VPN so that as many people as possible can use it.

  • Use only when you need to have connection to on-campus network.
  • Disconnect immediately when you finish. (Please DO NOT keep connecting all the time.)

Occasionally, connection gets temporally unstable because of an increase of teleworking due to Corona virus.
When you are not able to get stable connection, please wait for a while and try again.

In case that the amount of usage of SSL-VPN extremely get increased, there will be established some restriction such as time limit depending on users. We deeply appreciate your understanding and sincere cooperation.

Trial release of One-Time Password Authentication (OTP authentication)

Besides current following authentication systems; Matrix authentication and IC card Authentication, we try out to offer One-Time Password authentication. With this new authentication system, you can log in to the Portal by using a temporary password sent to your email. See the manual for setting up OTP authentication.
Please note that you need to set up it from on-campus network.

[Update: December 13th] We have added a new function to disable Matrix Authentication. For more details, please refer to this manual.

The use of eduroam by researchers (Not researcher students)

In case that researchers have special reasons to eduroam in other institutes, they are available to eduroam under their instructor’s approval and submission of a specific application form.

Repair of compatible browser with IC card authentication in macOS

IC card authentication in macOS (Sierra, High Sierra) is ready for compatible with both Safari and Chrome.

Please see Setting up an IC card reader (macOS) and follow the instructions.

The end of the use of IDs issued by eduroam-shib

IDs issued by eduroam-shib were not available as of the end of this March. We have currently started to offer a new service "eduroam JP Federated ID Service" as an equivalent one to eduroam-shib.

We have officially released a new eduroam account issuing service; eduroam JP Federated ID Service.
See this manual to issue a new ID and password for eduroam and follow their instructions.

Notice for the end of offering eduroam-shib

We will officially release a new eduroam account issuing service “eduroam JP Federated ID Service” from February 1st. Note that we are to finish offering the previous service “eduroam-shib” as of the end of this January. Please issue a new account on your own at eduroam JP Federated ID Service.
